Job Description

The proposal writer and coordinator works closely with the senior manager of new business development and the business development managers to create effective responses to requests for proposals or other information requests on our firm’s capabilities. It is vital that this team member be a self-starter who thrives working within a fast-paced environment. This individual will prepare proposals and pitches, through formal RFP response processes as well as on an ad hoc basis, for new business opportunities. This candidate will be responsible for taking a proactive approach to learning about the firm’s practice groups and industry teams, along with acquiring knowledge about the client base we serve. Working closely with key stakeholders, the Proposal Writer and Coordinator will also help develop and implement best practices, processes and supporting materials related to preparing proposals and similar business development work to effectively tailor the firm’s response in a compelling, logical and easy to comprehend manner. The ideal candidate will be able to work independently and collaboratively with others in a team-oriented setting. The Proposal Writer and Coordinator will exhibit exceptional time management skills and a strong client service orientation. They must possess strong communication skills, attention to detail, and the ability to apply critical thinking to projects under consistently tight deadlines. Applicants should demonstrate the ability to prioritize multiple concurrent projects and be technically savvy.

Responsibilities:

    • Participate in intake meetings with the senior manager of new business development, lead attorney(s) and business development managers
    • Submit conflict check requests; work to resolve any issues identified
    • Conduct research on clients, prospects and industries as required for new business opportunities
    • Participate in the development of timelines and action plans for efficient and timely deliveries
    • Collect information from attorneys and other internal sources as required to support the drafting of a highly competitive proposal response
    • Provide quality checks to ensure submissions meet all RFP/RFI requirements for structure, content, and forms
    • Utilize and update standard proposal language, standard forms, and other common information as needed
    • Apply a high level of quality control to ensure that all proposal content is up to date, consistent and error-free.
    • Identify and manage preparation of all necessary forms
    • Coordinate final production activities, including proofing for grammar, formatting and style compliance
    • Work with internal copy center to print, bind and prepare final packages for submission
    • Coordinate and monitor shipping and delivery of final proposal packages
    • Assist with developing reports associated with ROI/proposal success
    • Support the development of any post-proposal submission material required for interviews or in-person meetings
    • Manage proposal database and financial tracking
    • Coordinate and execute miscellaneous business development requests, such as sending out attorney bios, practice/industry overviews, and other firm information

Qualifications:

    • Bachelor’s degree in journalism, English, history, marketing or communications preferred
    • 1-3+ years of experience desired from among the following disciplines: proposal writing and preparation, marketing, communications, journalism or sales
    • Excellent writing, editing, proofreading and oral communications skills a must
    • Ideal candidate has experience with the legal industry, other professional services, B2B business development or other relevant experience
    • Flexibility to adjust hours based on operational needs and deadlines
    • Excellent organizational and archival skills.
    • Aptitude to competently manage multiple and diverse projects and use independent judgement on when and how to respond to shifting priorities and the unexpected
    • Exercise good judgment and take initiative to complete projects in timely manner , often under tight deadlines
    • Demonstrate excellent interpersonal skills, effective teamwork and service mentality
    • Proficiency with Microsoft Office and database management
    • Ability to work with diverse personalities within various levels of the organization
    • Military experience a plus
